Privacy Policy

This policy describes how ProPocket (“we”, “us”) handles information when you use the ProPocket mobile app, this website (https://www.propocket.app), and related pages such as email verification. Questions: support@propocket.app.

1. Who this applies to

ProPocket is a field quoting app for businesses. If you create an account, you are our customer. If you save clients, quotes, photos, or notes in the app, you decide what to store and share. For that business content, you are responsible for having a lawful basis to collect it (for example your own clients’ contact details). We process it to provide the service you requested.

2. Information we collect

Depending on how you use ProPocket, we may collect:

  • Account information: email address, authentication credentials, email verification status, and account identifiers.
  • Business profile: name, logo, and other profile details you add for branded PDFs (Pro).
  • Content you create: clients (names, phones, emails, addresses, notes), quotes, line items, templates, voice or typed notes, photos from camera or library, pipeline status (draft, sent, approved), and related timestamps.
  • Device data stored locally: offline draft cache and a sync queue on your device until it can reach our servers.
  • Purchase and subscription status: whether you are on Free or Pro, product identifiers, and entitlement state from Apple, Google, and RevenueCat. We do not receive or store full payment card numbers. Apple or Google processes payment.
  • Support communications: emails you send to support@propocket.app.
  • Diagnostics: app version, device type, operating system, crash or error logs, and basic usage needed to keep sign-in, sync, and the website working.

We do not require background location tracking. If you save an address and open directions, your device maps app handles navigation. Photos and notes may include images of property or people. Only add content you have the right to use.

3. How we use information

  • Create and secure your account, including email verification.
  • Provide clients, on-site quotes, photos, notes, templates, sharing, and pipeline.
  • Sync data across your signed-in devices and restore from the server when you are online.
  • Provide Pro features you turn on: branded PDFs, AI polish for notes, follow-up reminders, and higher limits.
  • Send transactional messages (verification, security, and support replies). Follow-up texts or emails to your clients happen only when you choose to send or schedule them.
  • Prevent fraud, abuse, and unauthorized access.
  • Comply with law and enforce our Terms.
  • Improve reliability and fix bugs using diagnostics.

We do not use your content to sell ads. We do not sell your personal information.

4. AI polish (Pro)

If you use Pro AI polish, the note text you submit is sent to a processing service so the app can return a cleaner draft. Use it only on notes you are comfortable sending for that purpose. Do not paste government IDs, payment card numbers, or other highly sensitive data into notes you polish. Output can be wrong. You must review it before you share a quote.

5. When we share information

We share information only as needed to run ProPocket:

  • Service providers: authentication and database hosting (including Appwrite), cloud infrastructure, subscription entitlement (RevenueCat), Apple and Google for in-app purchases, and processors that support Pro features such as note polish. They may use data only to provide their service to us.
  • At your direction: when you share a quote by text or PDF, or send a follow-up, that content goes to the recipient you choose.
  • Legal and safety: if required by law, to protect rights, or to respond to a valid legal request.
  • Business transfer: if we sell or reorganize the business, information may transfer under this policy or a successor policy.

We do not sell personal information and we do not share it for cross-context behavioral advertising.

6. This website

The marketing site is for information, download links, legal pages, and email verification. We do not run advertising cookies or sell browsing data. Our host may process technical logs (IP address, browser type, pages requested) to operate and secure the site. The verification page reads userId and secret from the link in your email only to open the app. Do not forward that link.

7. Storage, retention, and deletion

Content may be stored on your device (including offline drafts) and on our servers when synced. We keep account and content data while the account is open and for a short period afterward as needed to complete deletion, resolve disputes, or meet legal and accounting duties (for example subscription records).

Delete your account: use in-app account or settings controls to delete your account. That removes your account and associated content from our systems, except limited records we must keep. Deleting the app from your phone does not by itself delete your server account. If you cannot access the app, email support@propocket.app from the same address as your account and ask us to delete it. We may need to verify it is you.

If you lose a device before drafts sync, those unsynced drafts may be unrecoverable. Protect your phone with a passcode.

8. Security

We use HTTPS, access controls, and provider security features appropriate to a mobile app that stores business content. No system is perfectly secure. You are responsible for your device, passcode, and account email. Tell us promptly at support@propocket.app if you believe your account was accessed without permission.

9. International transfers

We and our providers may process information in the United States and other countries. Those places may have different data-protection laws than your home country. By using the service, you understand your information may be transferred to those locations to operate ProPocket.

10. Your choices and rights

You can access and edit much of your content in the app. You can stop follow-ups you control, turn off notifications in device settings, and delete your account as described above.

Depending on where you live (including the EEA, UK, Switzerland, or certain U.S. states such as California), you may have rights to request access, correction, deletion, a copy of your data, restriction of processing, or to appeal a denial. You may also have the right to lodge a complaint with a data protection authority. To make a request, email support@propocket.app. We will not discriminate against you for exercising privacy rights. We may need to verify your identity before fulfilling a request. Authorized agents may contact us at the same address with proof of authority.

11. Children

ProPocket is for adult business use. You must be at least 18 (or the age of majority where you live) to create an account. We do not knowingly collect personal information from children. If you believe a child provided information, contact support@propocket.appand we will delete it.

12. Changes

We may update this policy. The “Last updated” date will change. For material changes, we will provide additional notice in the app or by email when appropriate. Continued use after the update means the new policy applies.
